Privacy Policy
The Kairos Ark (Pty) Ltd (“The Kairos Ark”, “we”, “us”) respects your privacy. This policy explains what personal information we process, why, and what rights you have under the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who is responsible for your information
- Responsible party: The Kairos Ark (Pty) Ltd, Sandton, Johannesburg, South Africa
- Company registration number: [2026/706945/07]
- Information Officer: The Kairos Ark team member, kairosark8@gmail.com
2. Information you give us
When you submit an enquiry, request a quote, or apply for a package, we collect the details you provide: name, company, email address, phone number, the brief you write, your budget band, and how you found us. We use this to respond, scope the work, prepare a quote and manage any engagement that follows.
3. Public social media and online content
Our service analyses publicly available posts, comments and news items from platforms such as Bluesky, X (Twitter), TikTok, Instagram, LinkedIn, Facebook and news sites. This content can include personal information about the people who posted it, such as account names, text and engagement counts.
- We collect only public content, and only for the topics and sources agreed in a client’s scope.
- We filter out content that is not relevant to the agreed scope.
- Client deliverables report themes, counts and trends. They do not identify individuals and do not reproduce individual posts without removing identifying details.
- We do not use this data to contact, target or profile private individuals.
- Stored public content is kept for 24 months and then deleted or anonymised.
4. Website analytics and cookies
We use Google Analytics to understand how the website is used. This may set cookies on your device. You can block or delete cookies through your browser settings. Blocking analytics cookies does not affect your ability to use the website or submit an enquiry.
5. Why we process information, and the legal basis
- To respond to your enquiry and prepare a quote or scope (your request and consent).
- To deliver agreed services under a contract with you.
- To keep records of client engagements, invoices and legal obligations.
- To improve our website and understand enquiries, where this is in our legitimate interest and does not override your rights.
Where we rely on consent, you may withdraw it at any time. Withdrawing consent does not affect processing that already happened.
6. Who we share information with
We do not sell personal information. We share it only with service providers who help us run the business, under written terms that require them to protect it. These include hosting and database providers, data collection tools, email and analytics providers, and payment processors where a payment is agreed. We may disclose information where the law requires it.
7. Cross-border transfers
Some of our service providers store or process information outside South Africa. Where this happens, we take reasonable steps to ensure the recipient protects the information to a level consistent with POPIA, as required by section 72.
We are based in South Africa. If you contact us from outside South Africa, the information you give us is transferred to and processed in South Africa, where POPIA applies.
8. How long we keep information
We keep enquiry information for 24 months if no engagement follows, and for the period required by law or by an agreed contract if one does. We delete or anonymise information when it is no longer needed.
9. Security
We use access controls, role-based permissions, encrypted connections and reputable hosting providers. No system is perfectly secure, so if we become aware of a security compromise affecting personal information, we will notify affected people and the Information Regulator as POPIA requires.
10. Your rights
Under POPIA you may:
- ask whether we hold personal information about you and request access to it;
- ask us to correct or delete information that is inaccurate, irrelevant, excessive or unlawfully held;
- object to processing carried out on the basis of legitimate interest;
- withdraw consent you have given; and
- lodge a complaint with the Information Regulator (inforeg.org.za).
To exercise these rights, contact our Information Officer at kairosark8@gmail.com. We may ask you to verify your identity first.
If you are located outside South Africa and the data protection law of your country gives you additional or different rights, you may also contact us to exercise them. We will consider your request under the law that applies to you.
11. Children
Our services are aimed at businesses and adults. We do not knowingly collect personal information from children under 18 through our enquiry forms.
12. Changes to this policy
We may update this policy. The date at the top shows when it last changed. Material changes will be flagged on this page.
